Use free AI to run your worker business

A free kit for independent cleaners, gardeners and support workers. Copy and paste prompts that turn your week into invoices, chase late payments politely and keep your records straight.

Last checked 22/10/2026 against the official sources listed at the end. For independent workers. About 5 minutes to read.

The short answer

Free AI tools such as ChatGPT, Gemini, Claude and Copilot can turn your weekly notes into a tidy timesheet and a provider-ready invoice, check the invoice before you send it, and write polite payment reminders. The free AI Care Worker Kit has copy and paste prompts, templates and plain-English guides. Use client codes instead of names, never paste Medicare numbers or health details, and check every number yourself.

Most independent care workers didn’t start a business to do paperwork. But every week there are invoices to write, hours to total, providers to answer and the odd late payment to chase. Free AI chat tools are surprisingly good at exactly this kind of job, as long as you keep client details out of them and check what they give you.

New to all this? Start here with Google and Gemini

If you have nothing set up yet, start with the computer, then one free Google account covers the rest: Gmail, Calendar, Drive, Sheets and the Gemini app. Give it a weekend, then about half an hour each Friday.

  1. Choose a computer that matches your phone: a Mac if you have an iPhone, a Chromebook if you have Android. Turn on updates, a screen lock and find-my-device. If you’re a uni student or work in education yourself, Apple Education pricing saves A$150 on a MacBook Neo (checked 22 Oct 2026).
  2. Make a separate business Google account and turn on 2-Step Verification.
  3. In Drive, make a “Care business” folder with Clients (by initials), Invoices, Receipts and Tax.
  4. Copy our free Google Sheets invoice and timesheet, which numbers invoices and adds up totals for you.
  5. Put shifts in Calendar with a colour per client, and add your ABN to your Gmail signature.
  6. Install the Gemini app and choose your privacy setting. Connecting it to Gmail, Drive and Calendar needs Keep Activity on, so decide which you prefer.
  7. Every Friday: timesheet, invoice, email it to the provider, and move your tax share into a separate bank account.

The full step-by-step guide, with computer suggestions, Gemini prompts and what’s free and what’s paid, is in the kit: Start from scratch: the whole setup. Gemini inside Gmail, Docs and Sheets needs a paid Google AI plan in Australia (Google AI Plus is the cheapest, at A$7.99 a month when we checked on 22 Oct 2026), but you don’t need it: the free Gemini app does the same jobs by copy and paste.

The free kit

The AI Care Worker Kit is free to use, copy and share. It has plain-English guides to getting set up as a sole trader, invoicing a Support at Home provider, getting approved, chasing late payments and keeping a timesheet. It also has copy and paste prompts for the jobs you do every week, simple invoice and timesheet templates, and a comparison of the free AI tools with the privacy setting to switch off in each one.

Three prompts to try today

Turn your week into an invoice. Paste this into ChatGPT, Gemini, Claude or Copilot and fill in the brackets:

Make an invoice to [PROVIDER] from my notes below. One row per visit with
date, official Support at Home service type, what I did, hours, rate and
amount. My rate is $[RATE] an hour, ABN [ABN], invoice number [NUMBER].
Add "No GST has been charged. Not registered for GST." Show your working.
My notes: [PASTE NOTES USING CLIENT CODES, NOT NAMES]

Check it before you send it.

Check this invoice to a Support at Home provider. List anything missing
(ABN, invoice number, client reference, service types, hours, rate, totals,
GST wording, bank details), flag vague descriptions or travel lines, then
give me a corrected version. [PASTE INVOICE]

Chase a late payment, nicely.

Write a short, friendly email to a provider's accounts team about overdue
invoice [NUMBER] for $[AMOUNT], due [DATE]. This is my first reminder,
so assume it's an oversight. Australian English, under 120 words.

The kit has five more, for timesheets, quotes, tax set-aside, provider replies and planning your week.

Keep clients’ privacy safe

Use a code like “Client A” in anything you paste, and add the real name and client ID yourself on the final copy for the provider. Never paste Medicare numbers, dates of birth, addresses or anything about someone’s health. In each tool, turn off the setting that lets your chats train its models. The kit’s free AI tools page says where to find it.

The rules still apply

AI doesn’t change the basics. You need an ABN, a business name only if you trade under something other than your own name, a police certificate or NDIS Worker Screening Clearance for aged care work, and public liability insurance most providers will ask for. GST registration is required once your turnover reaches $75,000, and records must be kept for 5 years. Our guides to getting approved by a provider and invoices that get paid go into the detail.

Common questions

Do I need to pay for an AI tool?

No. Every prompt in the kit works on the free plans of the major AI tools. If one tool says you've hit a daily limit, paste the same prompt into another.

Is it safe to put client details into AI?

Keep them out. Use initials or a code like Client A, and never paste a Medicare number, date of birth, address or health details. Turn off model training in each tool's privacy settings where you can.

Can AI tell me what tax to pay?

It can give you a rough estimate to set money aside, but it's not tax advice and it can get rates wrong. Check against the ATO or a registered tax agent.
